Digital transformation defined as – the use of technology to radically improve performance or reach of enterprises – is creating a lot of buzz in tech-savvy fraternity. Google trends shows that there is 200% rise in the searches around digital transformation in 2015. Organizations are heavily investing in the digital transformation initiatives because of two main reasons: Customer Experience and Operational Processes. It is essential step of organizations to stay connected to the employees, customers and stakeholders.

As always, Customer is king and expectations of the king matters. Often, Organizations face difficulty to cope up with these expectations whether they are internal customers (employees, stakeholders) or external customers. To maintain the graph of expectation vs. reality, Organizations sometimes choose inappropriate strategy for Digital Transformation and can’t utilize the two important approaches for reshaping the organization:

  • Transformative vision
  • Take advantage of existing strategic assets in new ways

Organizations strongly believe in top-down design strategy – backbone of Digital Transformation. In which, not only technology will change but also how organization operate will change. This is challenge for Management and People to make the customer experience more delightful and make business processes more efficient. Most executives are researching their businesses’ customer touch points and working to innovate further by increasing customer intimacy. Process digitization is also key challenge for executives. But to digitize process, they must have right digital assets at the right time. Organizations need one stop solution to manage, process, retrieve their valuable digital assets.

Need for Digital Transformation in Education

K-12 schools, higher education institutions and universities have joined the battle to achieve higher level of digital maturity. They want to automate and upgrade their existing manual systems with collaborative and digitize platforms. These platforms need features such as process digitization, document capture and student centric features. There are lot of scattered solutions to manage their content, resources and processes. But they need integrated one stop solution for their challenges.

Largest University in Ghana

- Taking next steps to digitize the processes with Content Management and Portal Solution

Journey was started with identifying pain point. University was experiencing productivity loss due to a “memo based system” among 60 offices across multiple campuses. University envisioned an Open Source and Open Standards based intranet and content management platform that would empower staff. It wanted to virtualize entire physical environment of the university down to offices and cabinets by digitizing current paper based system and manual workflow processes.

We developed content management and portal solution to digitize the processes of University.  We leveraged Liferay as frontend intranet portal and used features such as message board, wikis, blogs and polls. We used Ephesoft to scan documents and OCR. Then scanned documents are stored in backend - Alfresco. Documents are searchable by contents, author and metadata in each office with the help of Solr Search Engine. Customized workflows helped the offices to collaborate efficiently among intra (within) offices and inter (between) offices. Users are authenticated against CAS SSO using Microsoft Active Directory.

University staff showed the results after implementation. The platform improved productivity, engagement and streamlined operations. The collaborative platform became central source for university documents, news and updates.
