Digital transformation defined as – the use of technology to radically improve performance or reach of enterprises – is creating a lot of buzz in tech-savvy fraternity. Google trends shows that there is 200% rise in the searches around digital transformation in 2015. Organizations are heavily investing in the digital transformation initiatives because of two main reasons: Customer Experience and Operational Processes. It is essential step of organizations to stay connected to the employees, customers and stakeholders.

Journey was started with identifying pain point. University was experiencing productivity loss due to a “memo based system” among 60 offices across multiple campuses. University envisioned an Open Source and Open Standards based intranet and content management platform that would empower staff. It wanted to virtualize entire physical environment of the university down to offices and cabinets by digitizing current paper based system and manual workflow processes.

We developed content management and portal solution to digitize the processes of University.  We leveraged Liferay as frontend intranet portal and used features such as message board, wikis, blogs and polls. We used Ephesoft to scan documents and OCR. Then scanned documents are stored in backend - Alfresco. Documents are searchable by contents, author and metadata in each office with the help of Solr Search Engine. Customized workflows helped the offices to collaborate efficiently among intra (within) offices and inter (between) offices. Users are authenticated against CAS SSO using Microsoft Active Directory.

University staff showed the results after implementation. The platform improved productivity, engagement and streamlined operations. The collaborative platform became central source for university documents, news and updates.
